商务信函写作能力直接影响到买家对公司的评估,给客户的每一份信函、邮件或者传真,都代表着公司的形象,显示公司的水平和实力。同时,也可以用这种方式来评估和了解买家。商务信函写作决定了是否以专业的方式跟买家进行有效的沟通,在业务往来中占据着举足轻重的地位。因此,商务信函的写作技巧是国际商务人员必须掌握的一门重要功课。

一封商务信函通常由信头(Letterhead)、信函编号(ReferenceNumber)、日期(Date)、信内地址(Inside Address)、请某人注意行(Attention)、称呼(Salutation )、主题(Subject)、正文(Body of the letter)、结尾敬辞(Complimentary Close)、签名(Signature)、附件(Enclosure)、抄送(Carbon Copy Notation)和附言(Postscript)组成。其中信头、日期、信内地址、称呼、正文、结尾敬辞和签名是不可缺少的组成部分,其他部分可根据公司习惯和信函具体内容有所增减。因此要符合上述交流的要求,并且树立起专业,以顾客为本和思维清晰的形象,要注意如下一些问题。1.1读者

了解读者是成功的关键。无论任何交流(无论是文书的还是口头的交流)的首要原则便是了解听众,一切都围绕着这一原则进行。1.2遣词

简单的词效果是最好的。阅读理解研究的结果显示,如果文章的难度稍稍低于人们通常的理解水平,那他们理解起来就会更快。在生意场上的人,无论是老板还是打工族都没有时间为了看懂生词而去查字典。所以为了确保普通读者正确理解你的意思,尽量挑选短小精悍的简单词汇。这样也就减少了产生误解的可能。行话仍有用武之地。行话是在特定的团体或行业内使用的专业语言。如果给这样的团体写信,行话就能比平常的语言更清晰更准确地解释某些概念,也有助于技术人员读者建立起和谐友好的联系。1.3造句

句首、句尾的内容应该得到突出。人们在看电视情景喜剧时也是这样一个情形,他们一打开电视,因为熟悉剧情的发展看到中间就会开溜去看其他频道,然后再回来看结尾。因此别把重要信息埋没在长句的中间位置,这样可能会被人忽略漏看。商务应用文句子的平均长度为15~18个单词。这是使读者能够快速理解句意的最佳长度。如果超过18个单词,读者看到这种句子要么会跳过中间的细节,要么就会错误地理解句意,因此长句应切成两到三个短句为宜。最佳的商务信函应该由长短不同的句子组成。太多长句会使人不知所措,太多短句则读起来像是小儿絮语,长短句交错的文章对读者最具吸引力。

标点超过四处的句子令人难以卒读。句子因为太复杂而需要那么多的标点的话,读者是很难读懂的。把这样的长句断成两句或更多的短句,这样有助于有逻辑地清楚明白地表达观点。表达三个乃至更多观点时使用列表是最好的办法,标题式的列表可以帮助读者迅速掌握要点,而且也留有空白的间隔。

1.4分段信函、备忘录和报告的起始段落与结尾段落的长度不应超过三到四行。从心理学的角度上看,如果段落过长,就可能使读者不愿意花时间继续看下去。结尾段落也应该简短扼要,明白说明读者应该采取怎样的行动。意思表达得越清楚越准确,越有可能得到想要的效果,位于信函、备忘录或报告肢体部分的段落绝不应该超过8行长。今天的读者已经不习惯长篇大论,他们会撇开中间的段落只看第一和最后一句。因此,为了保证读者不漏掉重要的信息,将段落长度控制在8行以内是最好的。电子邮件中的起始和结尾应该只有2~3行长,主题部分段落长度不应该超过5行。凡事为读者着想起见,尽可能缩短段落。1.5外观外观是非常重要的。大多数人并不关心文档的外观。然而一封信函,电子邮件或报告的外观如何,在很大程度上决定了收件方是否愿意拆开阅读。如果其书写潦草难懂,那对方可能就会忽略其内容或推迟到以后再阅读。选择合适的字体和字号。字体应以适宜阅读为标准。现在有了word软件,人们有机会使用多种大量不同的字体,但是如果同时使用多种字体,写出的东西就会获得“勒索信”一样的效果。字号要慎重的选择,太小太大都不利于读者的阅读。绝不要整篇文档或电子邮件都用大写字母、粗体字或斜体字来写。有些人以为这样可以突出个人的风格或趣味,于是大部分甚至整篇文档都用大写字母、粗体字或斜体字来写。但是这些字体很难阅读,如果不加节制的滥用,反倒使它们丧失了正常的功用对某些单词或习语起到强调作用。只在其强调作用时用大写字母、粗体字或斜体字。2 外贸工作中商务英语信函的翻译技巧

2.1建立贸易关系

(1)我们愿与贵公司建立商务关系。(2)我们希望与您建立业务往来。

外贸函电要写得生动、具体和明确,特别是要求对方做出明确反映的信函,或是答复对方提出的要求和问题的信函,或是报盘、承诺,都要写得清清楚楚、明明白白,毫无艰涩难懂之处,使收信人看后不会误解写信人所要表达的意思,用尽可能少的文字完整、清楚地表达需要表明的意思。

(三)态度礼貌化

写信要有理有节,注意礼貌,不要盛气凌人,避免命令和粗鲁做到不卑不亢、得体脱俗,既尊重国际贸易的习惯,又维护本国利益,同时还要体谅对方,要顾及对方的要求、愿望和感情等,着重正面地、肯定地谈问题,尽量避免否定地谈问题。

(四)格式规范化

外贸在长期的发展中,逐步形成了许多约定俗成的同时规范化的国际惯例。外贸函电以其独特的格式、惯用的商务词汇、丰富的贸易术语、固定的句式和缩写形成了独特的函电文体,具有强烈的商业色彩。其生命力在于与实际商务活动联系在一起,其语言形式、语言规范等都必须为具体的业务服务,用词用语约定俗成,符合国际惯例,规范化,为世界各国商务人员所公认与接受。

二、外贸英语函电的写作技巧

众所周知,写好外贸英语函电必须遵循4项原则:简洁,准确,得体,礼貌。这也是和外贸函电的特点相吻合的,具体来说:

(一)把握简洁原则

在国际贸易竞争愈加激烈的当今世界,简洁在外贸函电写作中显得尤为重要,要用尽量少的词来表达完整的意思,同时内容要完整、准确,语气礼貌。

(1)句子结构应该简洁,用单词替换词组和定语从句。如:A.We require TV which is of the new type.B.We require new type TV.第二句更加讲究简洁,第一句显得烦冗累赘。

(2)适当使用缩略语。在长期的发展中,外贸行业逐步形成了许多既定的专业缩略语,准确使用缩略语可减少信件的篇幅,节省读者的阅读时间。如:A.国际经济贸易组织缩略语。如:WTO(世界贸易组织),EEC(欧洲经济共同体),等等。B.常用外贸英语缩略语。如:D/P(付款交单),F.O.B(离岸价),L/C(信用证),等等。C.常用信函缩略语。如:CC(抄送),PS(附言),等等。

(3)内容简明化,也就是说英语函电的内容应简洁明了。函电的主题应当开门见山地提出,无需罗列一些繁琐的客套,让人感觉转弯抹角。例如,给国外客户去函抱怨货物短量,这时可首先直截了当地告诉对方写此信的目的,然后列举重要事实、数字证明,最后在信中阐明你希望收信人为你做些什么。

(二)把握准确的原则

在经济贸易往来中,交易各方处于不同的国家和地区,由于语言文化的差异,极易产生误解,而根据国际贸易惯例和法规,交易双方往来的函电是交易的一部分,具有法律上的效力,因此要行文严谨,措辞准确无误。书写外贸函电,在词汇选择上,要遵循选择词义相对单一的词来替代词义灵活丰富的词这一原则。

(三)把握得体的原则

外贸英语函电是一种以国际商务为目的的书面语言交际工具,除了词汇、语法上需要准确无误外,还要注意表达恰当、得体。

(1)重视文化背景。在跨文化的实际商务活动中,由于各国的政治、经济环境及传统习俗的不同,人们的商业价值观、消费心理、经营习惯有很大的差异,不同国家、不同民族、不同地区间的商务交往,涉及到不同的文化心理和风俗习惯。这些细节在书写外贸英语函电中要加以注意。

(2)注意写作的对象。写外贸信函时,除了注意对方的文化背景外,还要留意对方是潜在客户、新客户还是老客户,根据环境、对象,选用最恰当的言语体式,以营造和谐的言语氛围,取得最佳的交际效果。

(四)把握礼貌原则

明智的外贸函电写作会尊敬贸易伙伴,会从对方的角度看问题,理解对方的困难。在尊敬对方感情和利益的同时,获得对方的好感,促进交易的成功。即使双方在贸易中产生分歧,甚至提出索赔,在外贸函电中也要有礼貌,为今后合作打下基础。

(1)尽量少用否定句。否定往往产生消极的后果。在面对面的商务谈判中,尚有解释余地。但在写信时,我们就必须逐字逐句,认真对待。因此,我们在写信过程中,要尽量使语气积极肯定,避免消极否定。

(2)使用祈使句和疑问句表达礼貌的语气。写信人在表达自己的观点或向对方提建议时,常有三种选择:即陈述句、带please 的祈使句和疑问句。其中,陈述句过于直白、生硬而不宜使用,带please 的祈使句语气比较礼貌。疑问句的语气最客气、委婉,并给对方留有余地。因此,在语气的使用上尽量使对方感受到尊重,这样才能赢得对方的尊重,营造良好的交际氛围。

商业信件的各个部分说明:1.信头

信头应包括发信方名称、邮政编码、电话号码、电传号及传真号以及电邮地址等等。一般情况下,信头印在信笺中上方或左上方(见例文)。

有些国家的信头中还包括其它细节,比如在英国,信头中就印着公司经理的姓名(见例文)。

2.编号和日期

在外贸业务联系中,当一个公司向另一个公司发函时,双方都会给信函编号。编号一般应包括卷宗号码、部门代号或者该封信的签发人及打字员的姓名的首写字母。所有这些均标有“我方编号:”、“贵方编号:”,以防混淆,例如:贵方编号:JBD/WM 我方编号:WDW/LP 这些内容都打印在紧挨信头下面的位置。如果必要,代号首字母也可以打印在左边距签发人姓名向下两行的位置。

日期中月份应打印成英文全名,避免使用缩写,比如Dec.应改成December。序数词后面的词尾一th,一st,一nd,一rd可以省略,比如可以用May 5代替May 5th,用June l代替June lst。年份中不能用04年代替2004年。

要避免将日期打印成数字形式(如10/2/2004),否则容易引起混淆。因为英国人遵循日、月、年的顺序而美国人遵循月、日、年的顺序,所以,10/2/2004既可能被理解为2004年10月2日,也可能被理解为2004年2月10日。

3.封内名称及地址

封内名称和地址打印在信笺左边,位于写信日期向下2至4行的位置。其形式与其在信封上的形式完全相同。

对于个人的尊称一般包括:先生(Mr.)、夫人(Mrs.)、小姐(Miss)、女士(Ms.)等。如果此人拥有某种头衔,其头衔应跟在姓名后边(见例文)。

当合伙商号的名称里有人名时,Messrs则是又一尊称,如:Messrs Macdonald&Evans。但是,当商号名称里不含人名,或者已经具有尊称,或者有定冠词the时,则不能再使用Messrs这一尊称。如Utility Furniture Co.,Sir William Dobson&Sons,The Grayson Hectrical Co.(见例l,例2)。

4.经办人(注意事项)当发信人希望将信能寄给某个具体的人或部门时,便加注经办人。一般打印在封内地址之下。

5.称呼

称呼是在信的开头对收信人所表示的敬语,其具体形式取决于写信人与收信人之间的关系。习惯上,商务书信中的敬语有:对某个人称呼时使用的Dear Sir,或Dear Madami对两个人(或以上)称呼时使用的Dear Sirs,Dear Madames或Gentlemen(仅用复数而不用单数)。如果两人关系较好,便可以使用更热情的称呼,如:Dear Mr.

称呼的打印位置通常比封内地址和经办人行低两行。Dear Sir和Dear Sirs后面用逗号(,),Gentlemen后面用冒号(:)。

6.事由

事由其实就是信的主题/标题。它位于称呼和正文之间。齐头式信中打印从左边边线开始,其它格式的信中,打印在信文的中上部。它能引起收信人对信文主题的注意。

7.信文/正文

这是信的主要部分,表达着收信人的观点、意见、目的和期望等内容,所以应该认真对待,并且注意下面几点:

(a)简明扼要,合乎语法,重点突出。(b)分段正确,每段都有一个主题。

(C)打印无误,布局艺术,力求让读者对书信形式有耳目一新之感觉。由于书信四周的空边起着对信文定格的作用,所以空边也尤为重要。

除收信人姓名和地址总是采用单行距以外,对于特别简短的信,其它各项可以采用双行距打印。若以前已有通信联系,应在回信的第一段中提及,而你的计划、希望及期望则应在结尾段中表明。

8.结尾敬语

结尾敬语应当与称呼语配套使用。下面是几组最常见的配套使用的称呼语和结尾敬语:(正式) Dear Sir(s)/ Yours faithfully Gentlemen / Truly yours (非正式) Dear Mr.Henry / Yours sincerely (或Sincerely yours)由于称呼语和结尾敬语的使用只是出于一种礼貌而对内容无甚影响,所以在当今的简化式中常常被省略。

当使用结尾敬语时,绝不能将其单独另页打印。万一出现这种情况,则应重新打印全信,要么缩小信文行距,使其与信文打印在同一页上,要么重新排版,将信文的一部分内容移人下一页。

在需要使用续页时,应该使用与信头页质量相同之纸张,并且打印时包括下列内容的信头:(a)页码(左右居中)(b)收信人姓名(位于左边)(c)写信日期(位于右边)例如:

9.签署

通常情况下是先将写信人公司的名称紧接在结尾敬语下面打印,然后写信人应使用黑色或蓝色水笔在公司名称之下签署自己的姓名。由于手写体签名有时难以辨认,大多数商务书信里也将写信人姓名及职务头衔打印在签名的下方。

绝不能用图章签发信函(见例a、b)。

10.落款

对首次写信或复信或为防止对方看不清手签的情况,常用打印方式在手签下面打出签名者全名,还可能在其名下加上其在公司的职称

11.口授者/打字员名字缩写字母(较正式信件)

12.附件

若随信附有附件,须在签署下注明,通常注明附件的内容及份(件)数。

13.抄送

当信的副本要发送其他人或部门时,在签署底下的左边位置打印上“C.C.”符号,即“抄送”的意思。

如:C.C.大阪商会 C.C.G威尔先生

14.附言

如果在信的正文中遗漏了某事或者需要提醒对方某事,常常将附言补写在比“抄送”低两行的地方。因为附言有可能产生写信人在下笔前计划不周之嫌,所以应尽量避免使用。

(3)商务书信例文(略)3.信封的写法

在商务书信的信封左上角,一般有提前打印好的写信人地址。收信人地址则打印在信封的中部。邮票贴在信封的右上角,而左下角是为了加印诸如“绝密”、“秘密”及“印刷品”等字样(见例文)。为了便于机器分拣邮件,在信封上正确书写邮政编码也是非常重要的。
